We are just marking the 3-year anniversary of our Approved Agent Programme which was launched in October 2022. The Approved Agent Programme provides validity and evidence of rigorous quality assurance for our member schools and to the client families our agent members work with. It gives confidence to our member schools that they are working with high-quality, reputable agencies, thus protecting their UKVI sponsor licence. UKVI has confirmed that use of BBSN Approved Agents is within schools' sponsorship compliance requirements and our member schools can use BBSN references as part of their due diligence, if they wish to.

Agent Membership Manager - Job Description

Role Overview

Are you an experienced admissions professional with experience working in the UK boarding schools’ sector?

Working in close collaboration with the Head of the Approved Agent Membership Programme, the Agent Membership Manager will help drive the successful implementation and growth of the Programme. The role covers all stages of the agent membership lifecycle, from first contact and onboarding through to continuous support and monitoring, ensuring a thriving and high-quality Network.

This new role represents an exciting opportunity to shape and grow a core area of our work. 

 

Key Responsibilities

1 Prospective Agent Members

  • Respond promptly to all prospective agent enquiries and accurately log data.

  • Maintain and update agent enquiry pipelines to ensure accurate tracking.

  • Create and manage new agent profiles on the digital portal.

  • Support the recruitment process, including researching and interviewing prospective agents to ensure they meet our membership requirements. 

  • Proactively contribute to strategies for growing the network of member agents, including research of agents and digital campaigns.

2 Agent Members

  • Monitor and support existing agent members to ensure ongoing compliance with BBSN membership requirements.

  • Implement and manage the reference renewal process to ensure that all agents have up-to-date references on file.

  • Conduct agent review meetings to maintain ongoing engagement and monitoring, gather valuable market insights, and provide training and guidance on using the portal effectively.

  • Support the annual ‘Renewal of Membership’ process, including management of survey forms.

  • Ensure the membership database is accurate, complete, and up to date, including company and staff profiles.

  • Support current agent members to ensure they get maximum benefit from the services we provide.

  • Develop a greater understanding of the needs of agent members and feed this into the development of BBSN’s services.

  • Engage with agent members before and during events, ensuring they feel supported, receive demonstrations and training, and have opportunities to provide feedback.

3 Digital Systems & Communications

  • Maintain accurate, up-to-date, and well-managed portal and HubSpot back-end processes.

  • Support the setup and management of email and communication campaigns in HubSpot (CRM), including workflow creation, tracking analytics, and reporting on engagement.

  • Uphold high standards of data accuracy, integrity, system security, and regulatory compliance across all platforms.

  • Support with updating the portal content for members.

  • Keep clear records of member interactions for accountability and reporting purposes.

  • Contribute to continuous improvements in membership processes.

  • Attend BBSN events (Workshops and networking days) as required.

 

Person Profile

1 Qualifications & Experience

  • Previous experience in an Admissions role in a boarding school is essential to understand the landscape and specific needs of our members.
  • Proven experience of working with international student recruitment agents.
  • Excellent communication and customer service skills, with a confident, clear and professional manner (written and verbal).
  • Strong attention to detail and accuracy in managing customer data and digital records.
  • Confident user of digital tools and CRM systems (ideally HubSpot) with an understanding of data workflows and reporting. Training on HubSpot and our systems will be provided.
  • Experience managing customer or membership databases effectively.
  • Comfortable engaging with agents and facilitating online meetings and training sessions.
  • Experience of remote or hybrid working, with good self-organisation and time management.
  • Educated to degree level is preferable. 

2 Skills

  • Strong interpersonal skills, with a member-focused and solutions-oriented approach.
  • Excellent organisational and administrative abilities, with the capacity to prioritise multiple tasks effectively.
  • High level of digital literacy, including confident use of Microsoft 365, databases, online meeting platforms, and web-based systems.
  • Keen discernment and sharp, analytical ability to distil information to form accurate, well-considered conclusions. 
  • Sound judgment, integrity, and maturity, with the ability to navigate and resolve challenging situations thoughtfully and effectively.
  • Collaborative team player, willing to share knowledge, contribute to team goals, and support colleagues proactively.

Contract & Working Pattern
Reporting to: Head of Approved Agent Membership Programme
Contract Type: Permanent, full-time
Hours: Monday to Friday, 8.30am – 5pm (40 hours per week)
Flexibility: Evening and weekend work may be required during event periods
Location: Home-based in the UK
Travel: Full UK driving license and access to a car would be preferable
Additional Requirement: Our company policy is no smoking or vaping due to the nature of events and venues
 

Salary & Benefits

Salary: From £38,000 per annum, depending on skills and experience
Holiday Entitlement: 20 days per year, plus bank holidays and the office closure period between Christmas and New Year
Pension: Company pension scheme

Membership & Support Co-ordinator - Job Description

Role Overview

Are you an experienced admissions/marketing professional with experience working in the UK boarding schools’ sector?

The Membership & Support Co-ordinator will provide front-line support for BBSN’s school and agent members, ensuring they receive excellent service and make the most of their membership.

The role focuses on assisting members with portal access and use, maintaining accurate membership data, and supporting digital engagement initiatives to enhance member satisfaction.

This new role represents an exciting opportunity to shape and grow a core area of our work.

 

Key Responsibilities

1 Member Support & Training

  • Act as the first point of contact for member enquiries via phone, email, and web chat.
  • Provide timely and professional responses to all membership-related queries.
  • Support members with portal logins, navigation, and troubleshooting.
  • Maintain and update the members’ database to ensure data accuracy and integrity.
  • Help create and update user guides and training resources to improve digital literacy and platform usage by members.
  • Deliver user training for school and agent members to maximise portal usage. 
 2 Membership Engagement
  • Create and support initiatives to increase member engagement with BBSN’s digital tools and services.
  • Assist members in maximising the value of their membership through digital engagement and participation in webinars.
  • Produce and digitally distribute value-driven content to promote portal use, profile updates, and engagement with online services.
  • Support the planning and delivery of member webinars, online events, and communications.
  • Help develop digital campaigns and workflows to encourage members to update their profiles and the importance of maintaining the integrity of the data.
  • Help develop and maintain clear, interactive dashboards to access key metrics across digital platforms to review member engagement.
 3 Digital Systems & Communications
  • Support the setup and management of email and communication campaigns in HubSpot (CRM), including workflow creation, tracking analytics, and reporting on engagement.
  • Ensure portal and HubSpot back-end processes are accurate, up to date, and effectively maintained.
  • Collaborate with the Membership & Digital Operations Manager to identify and resolve technical or data issues.
  • Identify and implement automation opportunities to streamline internal workflows and processes, improving efficiency, accuracy, and enhanced UX.
  • Help ensure high standards of data accuracy and integrity, system security, and regulatory compliance across all platforms.
  • Support members with updating their portal content. 

4 Administration

  • Maintain clear records of member interactions and support requests.
  • Contribute to continuous improvements in membership processes and support materials.
  • Provide general administrative assistance to the membership and digital systems teams as required.
  • Attend BBSN events as needed.

  • Educated to degree level is preferable.
